ROLE OVERVIEW

The Event Co-ordinator will report to the S&E Manager. The role will play a pivotal role in the coordination of the various cultural events and programs, to ensure the best member experience. She/he will coordinate and oversee any event set-up required for Cultural Programmes, which spans the Club’s 5 programming pillars (Wellness, Creators, Futures, Encounters & Epicures).

KEY OBJECTIVES & DELIVERABLES

• Assist with logistics for event setup for all cultural programmes by independently liaising with vendors & staff on event requirements such as booking AV equipment, furniture, flights & hotels.
• Flesh out technical aspects of the event, such as itineraries and rundowns, floorplans, seating arrangements to ensure the best experience for members.
• Support the coordination of production or procurement of event materials (such as menus, placards, event signages and marketing collaterals), as well as other relevant collaterals and materials (such as lanyards, name tags, stationery and so on).
• Project manage timelines in ensuring the successful and punctual delivery of event logistics, décor and materials, towards the overall success of the event.
• Critically analyse and resolve challenges to the best of the situation with close consultation of the respective teams.

ADMINISTRATION:

• Taking minutes at relevant meetings (ideation, postmortem & debriefs) and communicating it within relevant departments.
• In collaboration with the Reception and Reservation Team, books and manages member events and RSVPs on our event management system, TripleSeat and Sevenrooms, as well as enters and retrieves information contained in events databases such as CMS to update records, files, reservations, and answer inquiries from guests.
• Assist in administrative tasks, including accurate and updated reporting of guestlists and attendance, event forecast sheets, internal debrief, external feedback forms and in updating the team on RSVP performances.

EVENT OPERATIONS:

• Under the guidance of the S&E Manager, distribute the Cultural Event EOs to the Club Team and ensure the relevant stakeholders have all information to deploy the events to the highest standards.
• Be responsible for the Company assets and inventory purchased for the execution of the cultural programming.

The Senior Marketing Manager, Mandala Club will report to Director of Marketing & Partnerships.

KEY OBJECTIVES & DELIVERABLES

● In conjunction with the Director of Marketing & Partnerships, lead and manage all marketing projects and initiatives for Mandala Club through a combination of strategic multi-platform marketing, public relations, special events management, and brand awareness.

● Assist the Director of Marketing & Partnerships in department and team administration and financial budgeting and adherence.

MEMBER COMMS/ENGAGEMENT:

● Oversee the composition and distribution of all lines of communication to members including newsletters, mail outs, on site leaflets, brochures, posters and supplements as well as all digital content and information published on member-facing portals. Overall leadership of acquisition/member journey from a CRM perspective.

● Provide guidance to, and collaboration with the Creative Studio Team, to assist with the creation of compelling and professionally delivered content (including the capturing and swift editing of still images and video footage from members events) for the Mandala Club website and newsletters, ensuring material is on brand, up to date, and delivered against deadline(s).

● Work with the Culture team to ensure all programming events are correctly communicated and effectively marketed via Mandala Club channels.

● Support the concept creation of Mandala Club’s tactical promotions and hero activations around annual line-up of hero events including the likes of, but not limited to, Chinese New Year , IWD, Halloween, Festive programming and New Year’s Eve etc.

● Oversee the Club’s social media output, ensuring posts have appropriate messaging and content, and generate awareness and desire, without ‘lifting the veil’, destroying mystique or violating member privacy.

· Measure and report results with reference to the established ROI and KPIs.

FINANCE, BUDGETING AND CLAIMS

● Oversee the production of all club communications relating to sponsorship agreements including sponsorship documents, food and beverage components, booking advertising space and accommodation bookings.

● Support the PR Agency by ensuring they have all up to date press materials required and, together with the Director of Marketing & Partnerships, ensure that they are regularly briefed on the strategic focusses of the business.

● Maintain and update the media database and dispatch relevant information including press releases, photos, discs, logos etc when necessary. Maintain record of all media clippings and coverage.

ROLE OVERVIEW

The Head of Cultural Programming, Mandala Club is responsible for the brand guardianship of the cultural program in the club. The position comes with the responsibility of leading the strategy and direction of the cultural events and happenings at the club. The role must ensure that the event is of the highest quality, fitting the Mandala brand standard of best in class.

The role includes conceptualizing and overseeing the cultural segments of hero, ritual, music, F&B, and membership events. This may also involve overseeing the communication of these events to stakeholders such as the Events, Marketing, and Operations teams. The role must take a holistic ownership of each event from start to finish. This role also includes managing events from start to finish, including staff management, overseeing event coordination and member relations, and ensuring vendor payments are made promptly.

An important note is that this role, unlike most positions in the business, is not purely based on driving revenue. This is a membership retention and value of membership position.

• Maintain the reception area in an orderly fashion.
• Perform day-to-day administrative tasks, including printing, scanning, filing documents, and processing paperwork.
• Manage and update space booking using the event calendar.
• Answer incoming calls and update space booking status.
• Manage enquires via all the channel OSA online agency. (Training provided)
• Track and follow up on activities, including introducing the event space to walk-in clients.
• Assist for daily operation in the setup of venue space. (Eg. Check projector, audio system working. top-up of beverage inventory)
• Undertake other ad-hoc duties as required by the management.

Requirements:

• Diploma and above.
• Minimum 1 – 2 years of experience in this hospitality industry is preferred. Fresh graduate are encourage to apply.
• Highly motivated, with a positive mindset, good working attitude, strong customer service skills, and a sense of responsibility.
• Solution-focused with the ability to work independently and minimal supervision.
• Fluent in both English and Mandarin.
• Proficient in Microsoft Words, Excel, Outlook & PowerPoint
• Experience in updating system, website and social media will be a plus.
• Able to start work immediately or within short notice

Salary: $2400 to $2800 per month (Negotiable)

As a Membership and Event Sales Executive, your primary responsibility is to drive revenue growth through the acquisition of new members and the successful promotion and sale of event space. You will play a crucial role in expanding our organization's reach, enhancing member engagement, and maximizing event attendance.

Key Responsibilities:

Membership Acquisition:

• Develop and implement strategies to attract new members.
• Conduct market research to identify potential target audiences.
• Create and deliver compelling presentations to showcase the benefits of membership.
• Collaborate with marketing teams to design and execute effective membership campaigns.
• Build and maintain strong relationships with existing members.

Event Sales:

• Identify and approach potential prospect to propose our event space.
• Develop sales proposals and presentations for event space and e-commerce platform.
• Collaborate with the team to understand the unique selling points of our membership and space.
• Meet or exceed sales targets for event space and membership.
• Negotiate and finalize contracts with clients.

Client Relationship Management:

• Provide excellent customer service to members, sponsors, and partners.
• Act as the main point of contact for inquiries related to membership and event sales.
• Proactively address and resolve any issues or concerns raised by clients.
• Build and maintain strong, long-term relationships to ensure client satisfaction and retention.

Data Analysis and Reporting:

• Generate regular reports on membership and event sales metrics.
• Identify trends and make data-driven recommendations for improvement.
• Continuously assess and refine sales strategies based on performance insights.

Collaboration and Communication:

• Collaborate with cross-functional teams.
• Communicate effectively with internal stakeholders to ensure alignment on sales goals.
• Participate in regular team meetings and contribute to overall business strategy discussions.

Requirements:

• Bachelor's degree in Business, Marketing, or a related field.
• Proven 2-3 year of experience in sales, with a focus on membership and event sales preferred.
• Young and outgoing personality.

Salary: Basic $2500 – $3200 + Commission & Incentive
